Privacy Notice for Teaching and Learning Resources

About this notice

The University makes available digital teaching and learning resources to support students’ teaching, learning and assessment opportunities. These resources have been created under UEA academic contracts for the purpose of delivering UEA’s primary business aims.

Types of data which may be included in teaching and learning resources

The following types of private data may be included in teaching and learning resources:

  • Author’s name, title, role and qualifications

  • Author’s voice, image and biographical information

  • Author’s personal opinions

  • Sensitive or special category data

  • As they are intended as teaching and learning tools, it is not intended or recommended that sensitive or special category data will be included.

  • Audience or guest participation

If personal information of guest, participant or audience is included in a teaching and learning resource, then there must be a documented legal basis for processing this. Non-contracted identifiable participants must be fully informed about the way their data could be used, reused and retained.

How Teaching and learning resources are processed

Teaching and learning resources are held on centrally-supported and administered platforms (eg Blackboard, PebblePad, eStream, Wooclap, Padlet, FutureLearn, TDM). Teaching and Learning resources are available to be used across modules and courses so that maximal benefit is derived from them for UEA students and to support other UEA business purposes.

Teaching and learning resources are deleted, restored, and retained by UEA system administrators in the Centre for Technology Enhanced Learning according to UEA media retention standards.

Teaching and learning resources may be shared by authors within specific cohorts or to specific individuals. Access to these resources outside this initial sharing can be managed by CTEL system administrators to support UEA business practices. This will usually be completed with the original author’s knowledge.

Teaching and learning resources will not be used in promotional materials, outside UEA’s firewalls, without additional informed knowledge of authors.

Teaching and learning resources will not normally be shared with external third parties (except as described below). Any specific requests from a third party for us to share your personal data with them will be dealt with in accordance with the provisions of the data protection laws.

Your choice

Academics can choose how to create teaching and learning resources and which central system is appropriate to host them. Support on this decision can be obtained from ctel@uea.ac.uk.

Lawful basis for using your data

In providing a hosting service for UEA teaching and learning resources, the University is using personal data in pursuit of our public task to provide programmes of study or instruction. That is, in line with Article 6(1)(e) of the UK GDPR.

How long we keep teaching and learning resources?

We will keep teaching and learning resources in accordance with the UEA Media Retention Plan. This may include retention indefinitely.

Data processors

We use external companies (eg Blackboard, PebblePad, eStream, Wooclap, Padlet, FutureLearn, TDM) to host teaching and learning resources. In providing their services, these companies will have access to personal data as described above. These companies are acting as data processors on behalf of the University. They will act on our instructions, hold data securely, and retain it for the period we instruct.
