Voicemail

The University "voicemail" system (VIP's SEmap platform) operates on any central University telephone extension number regardless of location. The exchange, after six unanswered rings (approx 15 seconds), will divert your call to a computer system which answers the phone and plays your recorded welcome. It then permits the caller to leave a message.

Voicemail operation options

The service can operate in one of two ways:

  • By default - if the computer system has an Email address for the extension then it will encode the message as a computer sound file (WAV) and Email it to the relevant person. The message will still reside on the server - but be marked as an old message. 
     
  • In the unlikely event the phone user does not have an Email address - then the message will be stored and offered to the callee the next time they access their voicemail. By default we set the voicemail server to call the recipient extension every half an hour (during office hours) after a message has been left to notify them. This can be disabled.

Old messages are kept by the server for a period of 30 days unless you go into the system and manually delete them.

Application

The Voicemail System at UEA is provided in accordance with the University Voicemail Policy (a copy of which is available via the Information regulations and policies web page) which states that all university extensions will be provided with voicemail unless an exception is authorised by the school or department.

If you inherit a line which was previously excluded please complete a Voicemail Registration form available from IT Reception and Sales (Library Floor 0) or from the web (see link below). Return the completed form signed by an authorised signatory in your department to IT Reception. You will then receive notification and a copy of the "Operational Guidance and Advice" document.

There is no additional charge for having voicemail enabled.

Other applications (e.g. auto-attendant)

The voicemail system can also be used as an "auto-attendant" (e.g. press 1 for message of the day, press 2 for the help desk) style solutions which are normally used for shared extensions. For more details contact the Network Team via itcs.netteam@uea.ac.uk.
