The following is a broad overview of general procedures for the Year Abroad and is intended as a guide only. Application procedures and required documents vary considerably between institutions, so pay careful attention to all instructions once you begin the application process to your host institution. 

The Study Abroad Office collates space available at partner institutions annually over the summer.

Preferences and allocation

When? October-November

Year-Abroad students are notified of spaces available to each School of Study for the following academic year at the beginning of Year 2.

Students submit an online preference form to the Study Abroad Office by mid-November.

The Selection Committee reviews preferences and academic credentials of all students before allocating to a host institution.

Note: Please be aware that space at all partner universities is not guaranteed every year.

For academic concerns, consult your School's Year Abroad Coordinator in conjunction with the host institution's course unit/module catalogue/website to ensure coursework requirements will be met by your selected institutions.

Host university verification and application

When? December-February

After being notified of student allocations, the Study Abroad Office sends out the nominations to all the host institutions.

Host institutions provide application information to the Study Abroad Office, which passes instructions and deadlines to students via Blackboard and Facebook.

Students must retain copies of all application documentation.

Applications typically require the following documentation:

  • Completed and signed (if paper) application form
  • Statement of purpose
  • Letter(s) of recommendation
  • Statement of financial support -- this is particularly important for US universities/colleges and the requirement can be met by proof of personal funds, parental support, Student Finance awards or university funding
  • Copy of passport (must be valid for at least 6 months after completion of the period abroad)
  • Module request form
  • marks statement (provided by the Study Abroad Team)
  • Once all forms and relevant copies of other documents (e.g., passport, funding proof are prepared), all paperwork should be returned to the Study Abroad Team, who will issue official marks statements and send the completed application to the institution abroad.

Note: Only complete applications will be processed and posted.

An acceptance letter will be sent directly from host institutions to each student confirming placement. From this point each student is responsible for communicating directly with the host institution.

Final application steps

When? March-May

Module enrolment requests should generally have been submitted by this point according to regulations and instructions from the host institution. Naturally, this should be done in consultation with your academic adviser and/or Year Abroad Coordinator. It is crucial that you meet any deadlines that the host institution may have (e.g., housing, financial documentation, etc.).

Some universities send student a handbook of courses and other useful information; others send only one to UEA for multiple consultations. Course information is always available on partner institutions' web sites.

Immigration preparation and Student Visa application

When? May-July

During this period, students will begin to receive necessary immigration documents/information from the host institution.   

Only after receiving documentation will you be able to apply for your visa. 

Information and guidance will be provided at the Annual Pre-departure meeting, held in Spring prior to the Year Abroad.
