Getting permission to use copyright material

The copyright coordinator will do this for you, if you wish - see HELP AND ADVICE

These ground rules apply not only to photocopying but other uses of copyright material as well - such as: general publication; exhibition; performance; or publicity. The key points are:

  • Describe in detail what you want to use
  • Describe in detail how you want to use it
  • Specify the circulation or audience that the material will reach.

In the case of published material (including recordings, videos etc.) contact either a licensing agency or the publisher or equivalent in the first instance, rather than an individual author, artist or performer. Address requests to publishers to the permissions or rights manager.

In the case of unpublished material in a library, archive, museum, or gallery, write to the repository.

Irrespective of whether you handle permission clearance yourself or delegate it to the copyright co-ordinator, be able to supply the following information about the source material:

Print media

  • Author
  • Title
  • Publisher
  • Publication date
  • ISBN (for books)
  • ISSN (for journals)
  • Page numbers or number of pages to be reproduced.

In the case of collective works indicate author, title, chapter number and pages of the relevant contribution as well as details of the overall work.

Some publishers may ask for the number of lines of text that are to be reproduced.

Audio-visual and multimedia

  • Title of product
  • Reference number of product
  • Name of recording/film company or distributor
  • Title/description of extract/track
  • Name(s) of performer(s)
  • Running time of extract/track (if possible).

Explain exactly how you want to use the material, in particular indicate

  • Name and reference code of course
  • Type of course (undergraduate, diploma)
  • Mode of study (full-time on campus, distance-learning)
  • Number of copies to be made, or number of students on course
  • Distribution (internal to UEA, UK-wide, world-wide)
  • Whether or not a charge will be made for copies and if so, the basis (full-cost recovery, for profit)
  • One-off distribution or recurrent.

Digitising and networking - in addition to all the above information indicate the file format, storage medium and access arrangements (stand-alone machine, intranet, Internet, password-controlled or open).

 Get everything in writing and keep it safe.
