What is the system:
The SITS Student Information System provides support for the administration of the entire student lifecycle, this is a modular system providing support for:
- Student enquiry
- Admissions
- Registration and enrolment
- Teaching, including timetabling
- Assessment, including Online Submission of Coursework
- Award Ceremony (Congregation)
- Student Account Management
This system links directly to and interacts with many other systems at UEA, including Room booking, Finance, and Accommodation.
The system and the processes or information provided by it, has two compontents: SITS Client and eVision. Students and most members of support staff have access to information via eVision through the ePortal, with access levels set to protect student data and according to the role being undertaken. Students and staff can also undertake some administrative processes using eVision. Members of administrative staff are given access to SITS Client in order to undertake some administrative processes. In addition, there are a range of management information reports provided via Discoverer drawing on data held within SITS.
Access and Support of the System
Admissions
Staff requiring access to or support with using Admissions and Enquiries should contact ARM using the following web link: https://intranet.uea.ac.uk/mac/aao/intranet/helpformTraining for Enquiries and Admissions is provided by the Operations Team in ARM, who also provide first line support for Admissions related problems.
Finance
Staff requiring access to SAM should print off an access to SITs form and ask their line manager to complete it and send it to the SIS Team, ITCS Building. The form can be accessed via https://intranet.uea.ac.uk/fin/SITS+Access+Request+Form.Staff requiring training on SAM should contact debtors@uea.ac.uk
Student Records
Staff requiring access to SITS Client should print off an access to SITS form and ask their line manager to fill it in and send it to the SIS Team, ITCS Building. The form is available at Access to SITs form v2.1For those staff requiring access to just eVision there is a separate form that can be downloaded from the Academic tab of The Portal by clicking through Student Records > Staff View > Staff Views > Evision Security Information > Security Access. Forms can be completely electronically and emailled to sis.project@uea.ac.uk.
Staff requiring advice on Student Records should contact SIS Records on ext. 2160 or email SIS Records.
The SIS Team, in liaison with the Learning and Teaching Service and PGR, Partnerships and Equality & Diversity Service, offer a number of training courses to staff requiring access to Student Records and new administrative processes delivered using the system. Staff should contact the L&T Managers: Undergraduate, Data and Systems for further information or to request training. The SIS Applications Support Adviser is developing a range of online training materials that will allow staff to access training and support via the web and colleagues should visit the SITS User Resource Forum Blackboard site to view the most recent documentation and new training materials.
A host of information is available on the SITS User Resource Forum Blackboard pages including manuals and FAQs and a discussion board. All members of staff who have been granted user level access to SITS Client will be added to the SITS User Resource Forum, and a link will appear under the Faculty tab of the Portal.
Staff or students who have a query about information held in SITS or displayed through eVision or who cannot access information via eVision should in the first instance contact the relevant Service area (e.g. LTS or PPE) or the IT Helpdesk. Where necessary, support calls will be escalated to the SIS Team. Any comments about how the Student Information System is set up or ideas for future development should similarly be raised in the first instance with the relevant Service area.
Development Board:
The development of the system is overseen by a Development Board which meets up to six times a year to review progress and consider future work. Members of the Board are:
