Outgoing Erasmus Procedures

Step 1 – Express Interest

Speak to staff in the Study Abroad Office about the possibility of taking an Erasmus placement as part of your degree. Please note – it is not always possible for an Erasmus placement to form part of your studies, and for others it will form an integral part of their degree. Please be sure to check the possibilities, and the length of potential stay.

Step 2 – Choose A Placement

Contact the relevant Erasmus Academic Co-ordinator for your School, or the Study Abroad Office, to discuss which of the Schools' links are available and which would be best for your interests and studies, and how long you can go for.  Ensure you have sufficient knowledge of the language and/or are taking the necessary steps to improving your language level.

Step 3 – Application To Become An Erasmus Student

Complete a UEA Outgoing Erasmus application form, ensuring all sections are completed, and take it to your School Erasmus Academic Co-ordinator for signature. 

Step 4 - Notify The Study Abroad Office

Bring your completed, approved application form to the Study Abroad Office. Deadlines for the return of the completed application form to the Study Abroad Office are 22 March for students starting a placement during the first semester and 8 October for students starting during the second semester. The Study Abroad Office will then contact your intended host institution, and officially nominate you as an Erasmus student.

Step 5 – Application To The Host Institution

Do research on the host institution you are going to e.g. application procedures, courses to take, term dates, and accommodation. Complete the host institution’s application procedures (normally can be found on their website, or it may be sent directly to you by e-mail or post by the host institution) and return it to the host institution by their deadline. Please note that you can only be accepted on your placement if you have submitted the host institution’s application form and have met all of the requirements and they have accepted your placement.

Step 6 – Pre-Departure Meeting

Attend the Pre-Departure meeting for all outgoing students. This will normally take place in March for students going out during the first semester. For students going out during the second semester, you will be notified directly of any general meeting or one to one session that may take place. This will be the time when staff from the Study Abroad Office will discuss the practicalities of your placement and hand out essential paperwork (i.e. the grant contract and Provisional Learning Agreement) that must be completed before you leave for your placement. If, for any reason, you are unable to attend the meeting, you will need to collect the forms from the Study Abroad Office.

Step 7 – Paperwork

Please make sure that you return all paperwork by the relevant deadline. The UEA application form, Erasmus Grant Contract, Bank Details Form, and Provisional Learning Agreement need to be completed and returned before you leave for your placement and will be handed to you by the Study Abroad Office. The Arrival Form, Final ECTS Learning Agreement, Address Form, Report Form, Questionnaire, and Departure Form will need to be returned at different times and these can all be found on the Blackboard group, which you will be enrolled on. All deadlines can be found on the "Deadlines" page and on each form themselves. Please remember the return of all paperwork before the deadline is required to receive your grant payments.

Step 8 – Enjoy your placement

Be prepared for your placement abroad. Take out relevant insurance, look into opening an internet bank account (or similar) and pack sensibly for your period abroad. Be sure to check with the host institution about any country specific requirements you must adhere to when entering the country (i.e. resident’s visas / registering with the police). Lastly, be safe, and enjoy the experience.

  • Keep copies of all the paperwork you have completed.
  • Keep in touch with the host institution with any questions – they will be the best people to advise you on their requirements / procedures.
